Price a fleet management system properly: upfront, monthly and total cost over the contract.
The full cost of a fleet management system
Vendors quote a per-vehicle monthly software fee, but the real cost includes hardware, installation, onboarding and the staff time it takes to actually use the system. This calculator rolls all of it into a single all-in cost per vehicle per month over your contract length, which is the only number that compares fairly across quotes with different structures (free hardware with a longer contract, higher fees with everything bundled, and so on).
Typical market pricing
Across the fleet management market, per-vehicle software pricing commonly runs $25 to $45 per month for full platforms, with basic tracking cheaper and enterprise suites with maintenance, routing and compliance modules more. Hardware is often $100 to $200 per vehicle when not bundled. Contract lengths of three years are standard, and that is where total-cost comparison matters most: a $5 monthly difference on 15 vehicles over three years is $2,700. Our guides to fleet management companies and fleet management software compare dozens of providers on capability and typical pricing.
Cost versus return
Cost is only half the decision. Pair this calculator with our GPS tracking ROI and telematics ROI calculators to weigh the spend against the fuel, maintenance and admin savings a system should generate; for most fleets above a handful of vehicles the net is comfortably positive when the platform is actually used.
